General Rental Information

Exclusivity

It’s all yours! If you rent the venue for a day, or longer, it’s all yours for the term of the lease. No other parties will have use of any part of the venue during your event.

Affordability

We got into building and operating a community event venue as a way of giving back to others. We are not interested in profits. Every dollar we collect goes back into supporting our community.

We want Pangea Gardens to be available for use by people of virtually any financial means. All in all, we simply want to provide great experiences to fellow Pangeans.

In the event excess funds are collected from an event, such funds are donated to one of our Benefit Partners’ youth-based music education programs.

Accordingly, one-day rentals typically cost $1200 and include complete and exclusive usage of the 50-acre venue, prepping the grounds and opening the venue for you, post-event cleaning, your event insurance, and event management support during the period of your rental.

If the venue is available on the day prior to your event, you may extend the lease for another $200 for use from 2-9PM for the day prior to your Event. Perhaps, this period would be used for a rehearsal dinner or prepping for your celebration. If this choice is made, you are responsible for prepping, cleaning and set-up prior to your wedding on the next day.

If you are planning a small, one-day wedding (<25 people, for a few hours), financial arrangements can be made on a case-by-case basis, and the cost of your rental will likely be less than a larger, longer celebration.

Rental Agreement

We want to remind you that if you select Pangea Gardens for your event, you are entering into a facility rental agreement. That’s it… and our Rental Agreement has been deliberately designed to be simple and straightforward.

Take some time and study the Terms and Conditions section of the Rental Agreement. You must understand what you are permitted AND not permitted to do at Pangea Gardens.

Of utmost importance, you must deliver:

  1. A signed Rental Agreement (an unsigned copy is furnished to you upon request,
  2. A $300 Refundable Deposit and
  3. Proof of Insurance (see below) to reserve your Event Date. And, your rental payment, paid in full, must be received no later than one month prior to your Event Date, or you may face cancellation and forfeiture of your Deposit.

Our simple, straightforward arrangements also mean that you may have additional needs. Be careful to consider all such needs and their costs before leasing the venue.

Third-Party Vendors

Don’t be caught by surprise. Here’s some tips. Such needs may include: catering, entertainment (i.e. a band, a sound engineer, a pianist, a DJ, etc), furniture rentals, florists, photographers, decorating, a wedding planner, guest speakers, officiates. etc. All such contractual arrangements, and related costs, are between you and the third-party vendor(s). See our list of recommended Vendors. We simply require a certificate of insurance be provided to us by any vendor prior to them operating at the venue. We urge you to keep in mind all costs you may incur for your special day… and we’ll be as flexible as we can be in helping with arrangements to ensure that you have a wonderful day.

Insurance

In order to host a one or two-day event at Pangea Gardens you must obtain Event Insurance. You should establish this protection no matter where you hold your Event. This step ensures you are protected and we are protected against unforeseen damages.

We have partnered with Northpoint Insurance Advisors who serve our surrounding communities. The process is very simple. By clicking on the “Get Event Insurance” button below, you will be prompted with a series of easily answered questions and a very reasonable quote will be provided in less than five minutes of being online. If you decide to rent the venue, it is necessary for you to obtain Event Insurance in order for us to sign off on your rental agreement.

Upon purchase of your insurance, a receipt should be provided to you and a copy of the receipt should be emailed to: info@pangeagardens.com

If you encounter any difficulties completing the tasks required on the insurer’s web site, please contact Thimble directly at (855) 940-4525.

Weddings

Beautiful Panoramas

Pangea Gardens is well suited for indoor or outdoor weddings. There are near-countless beautiful settings for your wedding to be held and beautiful wedding photographs to be taken.

Natural & Floral Arrangements

Since the venue is surrounded by botanical gardens, something is always blooming or changing color. This affords a florist great opportunities to meld the natural beauty of the gardens with floral arrangements prepared especially for your day.

Flexible Planning

There is a great deal of flexibility for planning your wedding day. The Commons offers a setting for informal seating and congregation, and The Love Nest offers a setting for more formal arrangements.

The outdoor setting offers “picnic and countertop” seating for 60-70 guests to dine, and virtually hundreds of guests to attend your ceremony. The indoor setting can be configured with table rounds or rectangles and provide seating for roughly 120-140 guests, depending on the room configuration desired.

Costing

Money, money, money…. Ughh! Remember, at the end of your day, every guest has cost you money. Every guest involves you purchasing drinks, food, etc for them. Experts recommend you make two guest lists. The first list is your family and those friends who are like family. This list is a “Must Come” list. The second list is co-workers, other friends, and others whom you like. This list can quickly become very long. Do not feel obligated to invite everyone. People understand weddings cost you, your parents, or someone money! We think it is far more important to invite both grandmothers than it is to invite someone from work whom you only recently met. Also, keep in mind that children cost you money at a wedding just as adults do. They occupy a chair, they need food and drink, and they add to your headcount.

It’s best to “back into” your headcount. Start with the first “Must Come” total, then begin adding folks from your second list to the extent you can afford to. Get second opinions from your parents and/or siblings if you’re unsure about certain people or how many people to invite.

Staging

Staging your wedding is very important. Are you planning an outdoor wedding?  If you encounter inclement weather, what’s your back-up plan? At Pangea Gardens, you have full and exclusive access to the Event Space. If you’ve planned an outdoor event and get chased inside by the weather, you can adjust to having your function inside The Love Nest with only a limited degree of anguish.

Also, staging means scripting. Imagine the flow of your day. Where do you want people to congregate, where do you want them seated, where do you want to stand when you make your vows, where do you want your wedding party to be seated at the reception? Do you want to sit in front or in the middle of your guests at your reception? Do you want a dance floor?

At Pangea Gardens, these staging considerations can be addressed with many options available to you. You can promenade! You can appear from behind a stage! You can walk through the crowd! You can stand above the throng on a stage or in front of everyone under an arbor or a massive tree, or in front of a beautiful mountain vista! It’s fun to think about all these many ideas and plan.

Entertainment Options

Music can be provided throughout the gardens through our first-rate outdoor entertainment system or on stage in The Love Nest, either with a “plug & play” band or DJ configuration, or with use of our state-of-the-art sound and lighting systems supported by one of our authorized engineers. The latter comes with a fee paid to the sound and lighting engineer.

The Love Nest can also be configured to allow for dancing.

If you would like a pianist to accompany your function, there is a beautifully restored grand piano available and we can refer you to one of our masterful pianists who can support your day.

Privacy

There are private spaces. Our Green Room can serve as a “hiding place” for the groom and his cohorts and The Book Nook offers all that a bridal suite affords. And, both rooms allow for grand entrances to either an outdoor or indoor wedding ceremony.  All in all, Pangea Gardens offers multiple options and a great deal of flexibility for design of your Perfect Day!

Other Gatherings

We’ve taken great care to design Pangea Gardens for multiple uses rather than solely for use as a wedding venue. Accordingly, all of the above amenities can also be considered for design of the perfect Birthday or Anniversary Party, or any other celebratory function. It might be a Celebration of Life for someone who has departed, or a club outing (photographers, naturalists, artists, birdwatchers, authors, songwriters, yogis, etc, etc). It might be a church, sports or school gathering. Or, it might be an out-of-the box business meeting in a nontraditional setting.

In any of these scenarios, Pangea Gardens can support such outings and some, but not all, of the guidance provided above may be helpful in your planning.

We are ready to assist you, so please don’t hesitate to reach out. View available dates on our booking calendar, or contact us at info@pangeagardens.com.
